1. Connecting WhatsApp Devices

WazAp works with any WhatsApp account โ€” personal phones, dedicated business devices, or a rack of SIM-connected handsets. The more devices you connect, the more groups you can reach safely. Connecting takes under 2 minutes per device.

1

Open the Devices section

In the WazAp dashboard, click "Devices" โ†’ "Add New Device"

2

Open WhatsApp on your phone

Go to: Settings (โš™๏ธ) โ†’ Linked Devices โ†’ Link a Device

3

Scan the QR code

Point your WhatsApp camera at the QR code shown in WazAp

4

Wait for confirmation

Within 5-10 seconds the device will be approved and group import will begin automatically

๐Ÿ’ก Connect at least 2-3 devices from day one. Multi-device rotation reduces ban risk by 85%+ compared to single-device operation.

Best Practices for Devices

2. Importing and Managing Groups

After connecting a device, WazAp automatically imports all WhatsApp groups that device belongs to. No manual entry required. Groups appear in your dashboard within 60 seconds.

Organizing Groups

Active vs. Inactive Groups

WazAp automatically detects which groups are no longer reachable. A group is marked inactive if:

Inactive groups are automatically skipped during sends. Review and clean them from your dashboard periodically.

3. Sending Messages to Groups

There are four ways to send โ€” choose what works best for your workflow:

๐ŸŒ Web Dashboard

Compose directly in WazAp and send to all groups or a specific group set.

๐Ÿ“ฑ WhatsApp Management Group

Send to the special management group in WhatsApp โ€” WazAp broadcasts it to all groups.

โœˆ๏ธ Telegram Channel

Publish in your connected Telegram channel โ€” WazAp auto-forwards to all WhatsApp groups.

โฐ Scheduled

Set date and time โ€” the system sends automatically without you being present.

Supported Content Types

4. Connecting a Telegram Channel

Publishing via Telegram is the most efficient workflow. Post once in Telegram โ€” it reaches all your WhatsApp groups automatically, including edits, deletes, and pins.

1

Create a Telegram bot

Open @BotFather in Telegram โ†’ /newbot โ†’ give it a name and receive your API token

2

Add bot to your channel as admin

In your channel's settings โ†’ Administrators โ†’ add @WazApBot with post permission

3

Configure in WazAp

Go to "Telegram Channels" โ†’ add the token you received from BotFather

4

Map channel to group sets

Select which WhatsApp groups receive content from this Telegram channel

What Syncs From Telegram to WhatsApp?

โš ๏ธ Important: when you delete a message in Telegram, WazAp deletes it from all WhatsApp groups too. Same for pins โ€” pinning in Telegram pins in all WhatsApp groups. Make sure these actions are intentional.

5. Device Rotation and Ban Prevention

This is the most critical feature for large-scale operation. WhatsApp's systems flag numbers that send too many messages. WazAp solves this through smart rotation.

How Rotation Works

Instead of one number sending to 1,000 groups, ten devices each send to 100 groups. To WhatsApp's detection systems, each device looks like a regular person managing their own community groups โ€” perfectly normal behavior.

WazAp distributes sends automatically across all connected devices with randomized 3-8 second delays between messages. You never need to manage this manually.

Safe Sending Limits (Based on Experience)

Account AgeSafe Daily LimitRecommended Wait
New (Week 1)20-30 groups/day8-12 sec between msgs
Week 250-80 groups/day5-8 sec between msgs
1+ month old100-150 groups/day3-8 sec between msgs
6+ months old150-200 groups/day3-5 sec between msgs

โš ๏ธ Exceeding these limits increases ban risk. WazAp manages rotation automatically within safe thresholds โ€” don't override them manually unless you understand the risk.

6. Inbox Center โ€” Managing Incoming Messages

When you manage hundreds of groups, people send private messages to your WhatsApp numbers. The Inbox Center collects all of them in one place so nothing falls through the cracks.

How It Works

  1. A customer sends a private message to any of your WhatsApp devices
  2. WazAp forwards it automatically to your central management group
  3. Your team sees the message with sender name, content, and which device it came from
  4. A team member replies in the management group using a special prefix
  5. WazAp sends the reply directly back to the customer โ€” they receive it as a personal message

๐ŸŽฏ The customer thinks they received a personal reply. In reality, a whole team is managing thousands of conversations from one place.

Auto-Reply First Response

Configure an automatic acknowledgment sent instantly to every new inquiry: "Thanks for your message! We'll get back to you within X hours." This reduces frustration, especially outside business hours.

7. Scheduling Messages

Plan ahead. Schedule posts for exactly the right time โ€” WazAp sends them automatically even while you sleep.

How to Schedule

Sending Hours Window

Set a time window (e.g. 08:00โ€“22:00) during which WazAp is allowed to send. Messages that arrive outside this window queue automatically and are sent when the window opens. This prevents late-night disturbances that drive group members to leave.

8. WhatsApp Management Group Commands

WazAp creates a special management group in WhatsApp. From this group, you can control everything without opening a browser.

Available Commands

โš ๏ธ The delete command removes the message from ALL connected WhatsApp groups, not just one. Use it intentionally.

9. Running Effective Campaigns

Before Your First Campaign

  1. Connect at least 2 devices โ€” single-device campaigns have much higher ban risk
  2. Make sure each number has received at least one reply โ€” send a test message from each number to a friend and get a reply back. This "activates" the number in WhatsApp's trust system.
  3. Set sending hours โ€” align with your audience's active hours
  4. Prepare content โ€” have 3-5 posts ready, not just one
  5. Clean inactive groups โ€” remove dead groups from your list to improve efficiency

The Right Content-to-Ad Ratio

For every promotional message, send 4-5 pieces of genuinely useful content. Groups that feel like ads get abandoned and reported. Groups that feel like valuable communities grow themselves through member referrals.
